Privacy Policy

Sport-Synq (“Sport-Synq,” “we,” “us,” or “our”) provides a player-development tracking tool for youth-sports coaches and the parents who read their reports. This Privacy Policy explains what information we collect, how we use it, and the choices you have. It applies to our website and application (collectively, the “Service”).

1. Who we are

The Service is operated by Sport-Synq (“we”). If you have questions about this policy or your data, contact us at privacy@sport-synq.com.

2. Information we collect

Coach account information

When a coach creates an account we collect their name, email address, and authentication credentials (managed by our authentication provider), and, for paid plans, billing details processed by our payment provider.

Player and roster information

Coaches enter information about the players on their teams — such as name, jersey number, position, an access PIN, and the evaluations, scores, and notes the coach records. Coaches provide this information and are responsible for having the appropriate authority and consent to do so (see Children’s information below).

Parent access

Parents access a child’s report using a team code and the player’s PIN — no account, email, or password is required. We store a short-lived access token so parents don’t have to re-enter the code each visit.

Technical and usage information

Like most online services, we automatically collect limited technical data such as IP address, browser type, and pages viewed, primarily to keep the Service secure and working.

3. Children’s information

Sport-Synq is designed for use by adult coaches and parents — it is not directed to children, and children do not create accounts. Player records are entered by coaches about the youth athletes they coach. Coaches and the clubs they represent are responsible for obtaining any parental or guardian consent required by applicable law (for example, COPPA in the United States) before entering a child’s information. We act as a service provider that processes this information on the coach’s behalf. If you believe a child’s information has been provided without proper authorization, contact privacy@sport-synq.com and we will remove it.

4. How we use information

  • To provide, maintain, and improve the Service.
  • To create and display evaluations, reports, and season trends.
  • To process payments and manage subscriptions.
  • To communicate with you about your account and support requests.
  • To secure the Service and prevent misuse.
  • To comply with legal obligations.

We do not sell your personal information, and we do not use player data for advertising.

5. How we share information

We share information only as needed to run the Service:

  • Service providers that host our database and authentication, process payments, and deliver email, under agreements that limit their use of the data to providing those services.
  • Within your team context— a parent with a valid team code and player PIN sees only that player’s report, never other players’ data.
  • Legal and safety reasons, where required by law or to protect rights and safety.
  • Business transfers, if we are involved in a merger, acquisition, or sale of assets, subject to this policy.

6. Data retention

We keep account and player data for as long as an account is active. If a subscription lapses, data becomes read-only for a period and is then archived before deletion, so you can resubscribe and restore it within that window. You may request deletion of your data at any time as described below.

7. Security

We use industry-standard measures — including encryption in transit and access controls that isolate each team’s data — to protect information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

8. Your choices and rights

Depending on where you live, you may have rights to access, correct, export, or delete your personal information, and to object to certain processing. Coaches can edit or remove player records directly in the app. To make a request about your own information, email privacy@sport-synq.com. We will respond as required by applicable law.

9. Cookies

We use only the cookies necessary to run the Service — for example, to keep you signed in and to remember a parent’s access. We do not use advertising or cross-site tracking cookies.

10. Changes to this policy

We may update this policy from time to time. When we do, we will revise the effective date above and, for material changes, provide additional notice.
